GENERAL SUMMARY:
The Environmental Services Coordinator manages and distributes information within the Environmental Services Department. The primary function of this role is to assist the Director in the day to day operations of the Department; these duties include but are not limited to answering the phones, taking memos and maintaining files and logs. The Environmental Services Coordinator is also tasked with sending and receiving correspondences, maintaining mandatory documentation, assisting with scheduling, as well as greeting clients and customers.
PRINCIPLE DUTIES:
- Assists, coordinates and organizes the master cleaning schedule for all unit cleaning and special cleaning projects in a timely manner. Communicates with Residents regarding their cleaning schedule.
- Records and submits Resident billing and monthly cleaning report.
- Keeps all required department records, messages, notes and reports. Keeps all departmental logs current.
- Assists in updating the Safety Data Sheet (SDS) website and folders throughout the property as needed.
- Assisting the Environmental Services Manager/Director with coordinating and recording mandated annual deep cleanings of each unit.
- Assists other Departments in coordinating special events and functions.
- Conducts inventories of all housekeeping supplies; including equipment and radios.
- Responsible for placing all department orders; including supplies and chemicals once approved by the Department Director/Manager.
- Assists Department leadership in operating within the Department budget guidelines.
- Assists Department leadership with assigning turnover of units for cleaning as needed.
- Assembles the EVS move-in folder (EVS packet, laundry bag, etc.) for new and transferring Residents
- Assists Management staff with education sessions as needed.
- Responsible for maintaining excellent relations with the Residents and promoting good departmental morale.
- Attends in-service training(s) and education sessions, as assigned/required.
- Other duties as assigned by the Environmental Services Director.
- Assists with the procurement of supplies, chemicals, and equipment; inventory control
while operating within budgetary guidelines.
- Protects Community property/equipment and makes sure there are no defects.
- Notify superiors on any damages, deficits and disturbances
- Addresses complaints/requests with professionalism and patience
- Observes and notifies Supervisor about noticeable changes in a Residents health, demeanor or disposition.
- Assists EVS team members as needed with project or deadlines, dictated by the Director/Manager.
QUALIFICATIONS:
- Minimum of two years of office management/administrative assistant experience.
- Strong computer skills, including Microsoft Word, Excel, and Outlook.
- A passion for giving excellent customer service.
- Strong Writing and Grammar skills.
- Strong Verbal communication skills and telephone etiquette required.
- High School/GED education required. Special courses in environmental services or institutional management are desirable.
